To help you manage your direct report mandatory learning within Learn a number of reports are available for you under My People. Please review the below information to run and interpret the reports.
Key Concepts
Within Learn Mandatory training is broken up into two types of training;
- Once Off Course (Programs) – these courses only need to be completed within Learn once.
- Refresher Course (Certifications) – recurring courses that need to be completed on a recurring schedule.
Mandatory Training - All courses listed in these reports are mandatory for your staff which is determined by stakeholders and leadership plus our legal, ethical and funding requirements.
Manager Reports
The manager reports within Learn are broken into 3 separate reports that only show mandatory training that is either upcoming, due, overdue, or expired. These reports do not show completed mandatory training, review the section below "Viewing your completed records mandatory training" for further information on completed training.
Important Note: Upcoming training / due in the future does not mean the worker is not incompliant at this stage but to inform you of their upcoming training due dates. Staff only become non-compliant only once they move to the expired or overdue status or have a due date in the past.
Accessing Mandatory Reports
To access the Mandatory Training Reports click the report under the My People link or click on the report below.
Report - Once-off Courses - Due
Report - Refresher Courses - Due (Initial Completion)
Refresher Courses - Due (Initial Completion) report shows you upcoming and overdue reports on courses that need to be completed for the first time. Workers who do not complete their refresher will return to this section once they become expired.
Report - Refresher Courses - Due (Ongoing Completion)
This report provides you with dates for the refresh component, workers in this report have completed the eLearning before and now are due to complete it again.
Combining Reports
These reports do need to be run separately but they are in a format that allows you to combine them via excel. As the Refresh courses need to be completed more than once additional fields are added to these reports. You can download a copy of the report using the "Export as" option at the bottom of each report.
My People Overview
My People allows you to see a full view of your workers' training history within Learn. There are four separate areas for each staff member that you can view which include;
- Profile - Your workers Learn profile which is provided by Workday. Any changes to this need to be made via Workday or your HR Business Partner
- Bookings - This allows you to see any future or past face to face / webinar bookings
- Records - An overview of all courses assigned to, or completed by your worker, and the status of each course, program or certification
- Required - This is an individual overview of all mandatory training still requiring completion
Viewing your completed records mandatory training
Within each report, you can adjust the filters using different fields, including course name or worker name. In addition, you can change the set filters by each report to include Completed or Due.
Status
Within each report there are a number of different status and they depend on which you report you are viewing. An explanation of each status is available within each report.
Direct Reports
Manager reporting in Learn is based on your direct reports which is provided nightly from Workday. As Workday is the source of truth any changes to reporting lines needs to be completed in Workday which updates in Learn overnight. Please contact your HR Business Partner to discuss changing reporting structures in Workday.
Indirect Reports
Managers via the Compliance Dashboard can run reports for their indirect reports, you can access these reports at the bottom of the Compliance Dashboard. Each report has specific instructions, and you will need to filter the report based on your requirements.
Multiple Positions / Managers
Learn receives the primary workers' position only and should there be more than one manager, the manager
